How long has EventRents Inc. been in business? EventRents has been in business since 1981 with a well seasoned and knowledgeable staff dedicated to making your event a success.
Will someone come to my home or event site to take measurements for a tent or tables to be set up? Our knowledgeable Project Managers would be happy to come to your site to advise you on these matters.
If I want to look at what you have to rent do I have to make an appointment to come to the showroom? The best way to see all of our product offerings is on our website – eventrents.com. If you would like to make an appointment to see your ideas set up in the showroom please do so or just drop in at anytime Monday - Friday, 9:00 am to 5:00 pm or Saturday, 9:00 to 3:00 pm.
Do you rent linen? Yes! We offer an extensive selection of beautiful solid colors and exquisite patterns in a variety of textures and sizes. We also offer custom overlays and chair covers. Linen rentals require a four-business-day advance reservation.
How much space is required for a sit down dinner? Allow 15 square feet per person. Add additional space for buffet tables, dance floors, etc…
How much space is required for a stand up cocktail party? Allow 10 square feet per person. Add additional space for stages, dance floors, etc…
How many bar glasses are required for a cocktail party per guest? Allow for 2.5 glasses per person for a cocktail party.
How are rental fees quoted? All rentals are quoted as a one day charge based on time out, whether used or not. Should you desire to use rentals longer than one day, please request a long-term rate quote.
When do I need to reserve rental items for my event? Plan as far ahead as possible. If your event is in a peak month, like June or October (busy times for rental centers), it is wise to rent several months ahead. Most large events are under contract between two and six months before the event date.
What is the equipment security deposit requirements? All rentals have a required equipment security deposit. This is refundable when the equipment is returned to EventRents in the same condition.
For all orders: Deposits are based on the percentage of the value of equipment. Your event specialist will inform you of the deposit fee upon confirming your reservation. Refund Time Estimate:
- Credit Card - Refunded upon return
- Cash - Refunded upon return
- Check – 4-6 weeks after return
Note: The deposit requirement is waived for EventRents account holders.
When do I pay for my rentals? A 50% deposit is required to reserve the equipment. The balance is due five days before delivery. For a customer pick-up, you may pay when you pick the item up from EventRents. We accept cash, check, Visa or MasterCard.
When is the latest I can make changes without being charged? Quantity reductions must be done during business hours and be at least five days before the DELIVERY DATE on the contract. Additions will be based on availability.
Will EventRents deliver my items? Delivery is available at a fee based upon the event city. Delivery hours are during normal business hours. There is an extra charge for stairs, elevators, long carries and sand deliveries. One hour delivery window is available during normal business hours for an extra fee. After hours delivery is available with fees based on the delivery time and order size. Ask your Event Specialist for details on delivery requirements.
Will you set up the equipment? Our delivery team will set up and take down tables, chairs and umbrellas for an additional charge. Equipment such as dance floors, heaters and tents will be set up with no additional charge.
Will your crew move my furniture too? EventRents’ workers’ compensation and liability insurance does not cover moving your furniture, please make other arrangements.
What should we do with items after they are used? All china and flatware should be rinsed. Remove excess food and debris from the linen and napkins. Linen should also be completely *DRY* and free of moisture to avoid damage from mildew. Do not place linen in plastic bags. All items should be placed back in their delivery containers and stacked in a single location for pick up.
What is your policy regarding lost or damaged equipment? Clients are fully responsible for equipment from the time of delivery until the time of pick-up. Clients are also responsible for verifying equipment counts on delivery and pick-up. Equipment must be secure from theft and protected from weather. Charges will be assessed for all missing, lost, stolen or damaged equipment.
What is the Damage Protection Plan? Damage Protection Plan modifies the responsibility of the renter regarding equipment damaged while in the possession or control of the renter. In the case of damage, the renter will not be liable EXCEPT when damage is due to renter’s neglect, misuse or abuse of equipment (neglect includes but is not limited to weather damage). It does not cover lost or missing items. Lost or missing items will be billed to the renter at retail replacement cost.
What if I don’t use the items rented? Items are rented for time out. All rentals will be charged per contract whether used or not (this includes items not used due to rain or weather conditions).
What if I have a problem with a piece of equipment? EventRents will exchange or repair it during normal business hours.
What if I have a problem outside business hours? For a nominal fee, you can make arrangements to have staff on call for your event, or we can provide staff at your event to support the equipment.
